Oshawa Little Theatre’s (OLT) Privacy Policy is intended to ensure the protection of your personal information when you do business with us or participate as a member. In addition, OLT also meets its requirements
with the Federally legislated "Personal Information Protection and Electronic Document Act," (PIPEDA).

 

With your consent, Oshawa Little Theatre collects and uses personal information only to the extent required
to conduct business or to sustain and support your participation as a member.


What is personal information?


Personal information is broadly defined as information about an identifiable individual in both paper and electronic form. Specifically, it relates to names, addresses, phone numbers and email addresses for members and names, addresses, telephone numbers and credit card numbers for subscription customers.


How does Oshawa Little Theatre use your personal information?

 
Personal information will only be requested and used for the stated purpose to:


As a member:

  • fulfill your request to actively participate in theatrical activities,
  • communicate with you by mail, email or telephone

As a patron:

  • process your credit card for ticket purchases
  • communicate with you by mail, email or telephone in connection with your request to make payment by credit card.
  • maintain records in accordance with laws and regulations.


We may also summarize your personal information for statistical purposes that no longer identifies an individual and is used for analysis only. You may choose not to provide us with any of your personal information
subject to applicable legal requirements or restrictions. However, if you make this choice we may not be able to provide you with the service you require. For example, if you are a member and do not choose to supply us
with a mailing address or email address we will be unable to provide you with a monthly newsletter.


How is your consent obtained?

 
You can provide your consent for us to use your personal information in a number of ways:


1. Implied consent - when you provide personal information as part of a membership application or membership renewal. Another form of implied consent occurs when you supply OLT with a credit card number as payment for a theatre ticket. In both cases, it is implied that your consent is given to use this information in order to process your requests.


2. Express consent - when you provide information in writing in order for OLT to publish programs and advertising. For example, if you are an actor in a play, you will provide a written description of your theatrical background for OLT to use as appropriate. Therefore, provision of this information is your express consent for OLT to use it for publicity purposes.


How does Oshawa Little Theatre protect your personal information?


OLT will:

  • Maintain printed copies of the Membership List only in areas of the theatre not open to the general public. In this regard, the Office, Boardroom, Green Room, Change Rooms, Workroom and Backstage are regarded and clearly marked as “Private”. OLT expects its members to recognize and support this intention of privacy by ensuring that non-members are not allowed into these private areas unescorted.
  • Maintain electronic copies of the Membership List on secure facilities belonging to specific individuals – President, Membership Director, Subscription Manager and Theatre Manager.
  • Maintain images of the Membership List in a section of the OLT website accessible only by current members that use unique names and passwords.
  • Maintain customer credit card information for sufficient time and in a secure, locked environment to satisfy regulatory requirements as provided by the credit card companies and the Canadian Payments Association.
  • Maintain customer contact information (addresses and telephone numbers) in a secure, locked environment in order to provide renewal notices and for purposes of contacting the customer in the event of payment or ticket problems.
  • Strive to keep your information as accurate and current for the purposes identified.
  • Allow access to your personal information as defined in PIPEDA and subject to exceptions permitted by law.



As an on-line consumer to our Web site, your personal information is also protected under PIPEDA. OLT uses an accredited and recognized third party service to process credit card payments. Your credit card numbers are secured and fully encrypted in total compliance to credit card association rules and guidelines and are not accessible to anyone other than those responsible for handling your payments. Access to the box office reservation system and to payment databases is accessible only by password, via a computer in a secure and locked environment. Furthermore, all personal data is maintained in encrypted form at our box office reservation system’s host computer. Personal credit card records are not maintained locally and our staff cannot access or view your credit card numbers.
